Meridian Water Systems is based in Edmonton, Alberta, Canada ("we", "our" or "us"). This Privacy Policy explains how we collect, use, disclose and protect personal information through www.meridianwatersystems.com and when you contact us.

We handle personal information in line with Canada's Personal Information Protection and Electronic Documents Act (PIPEDA) and Alberta's Personal Information Protection Act (PIPA).

2. Our Customers

We supply water treatment equipment to businesses and organizations, such as property managers, building owners and facilities teams. Most of the personal information we hold is business contact information for the people who request quotes or place orders on behalf of their organization.

3. Information We Collect

Information you give us:

  • Name, job title and organization
  • Email address and, if you choose to give it, phone number
  • Billing and delivery addresses
  • Details of your building and equipment needs that you share in a quote request or email
  • Order history and messages you send us

Payment information:

Card and payment details are entered directly with our payment providers at checkout. We do not see or store full card numbers.

Information collected automatically:

  • Device and browser information, IP address and pages visited, collected through cookies and similar technologies on our Shopify store

4. How We Use Your Information

We use personal information to:

  • Answer questions and prepare quotes
  • Process, ship and support your orders, including returns and warranty claims
  • Send messages about your quote or order
  • Prevent fraud and keep our website secure
  • Understand how our website is used and improve it
  • Meet our legal, tax and accounting obligations

We only send marketing emails, such as a newsletter, if you have opted in. Every marketing email includes a way to unsubscribe.

5. Consent

By requesting a quote, placing an order or contacting us, you consent to us using your information for the purposes above. You may withdraw consent at any time by emailing support@meridianwatersystems.com, subject to legal or contractual limits. If you withdraw consent, we may not be able to fill an order.

6. Who We Share Information With

We do not sell personal information. We share it only as needed to run our business:

  • Manufacturers and distributors that ship your order directly to you, and the freight and parcel carriers that deliver it
  • Shopify, which hosts our store, and our payment and checkout providers, including Shopify Payments and Global-e where it acts as merchant of record
  • Our email and business software providers, such as Google Workspace
  • Our product review provider (Judge.me), if you choose to leave a review
  • Professional advisers, such as our accountant
  • Authorities, when required by law

These service providers may only use your information to provide services to us.

7. Storage Outside Canada

Some of our service providers store or process information outside Canada, including in the United States. When this happens, your information may be accessible to courts, law enforcement and national security authorities in those countries under their laws.

8. Cookies

Our store uses cookies to run the shopping cart, remember your preferences, prevent fraud and understand site traffic. You can manage or block cookies in your browser settings, but some parts of the store may not work without them.

9. How We Protect Your Information

We use reasonable safeguards to protect personal information, including encrypted connections (SSL), secure third-party payment processing and limited access to the information we hold. No method of transmission over the internet is completely secure.

We keep personal information only as long as needed for the purposes above, or as required by law. Order and accounting records are generally kept for at least six years for tax purposes.

Our website and products are intended for businesses and adults. We do not knowingly collect personal information from anyone under 18.

Our website may link to manufacturer or other third-party sites. We are not responsible for their content or privacy practices.

We may update this Privacy Policy from time to time. The updated version will be posted on this page with a new effective date.
